Find a booking, filter the list and export

Bookings is the full list of everything that has been booked. It is the screen you use to answer "where is that booking?", to pull numbers for a period, and to print the paperwork for a day.
Once you have found the booking, everything you can do to it — change the time, move it, cancel it, refund it — is covered in Edit, move or cancel a booking.
Open the list
Choose Bookings in the menu. Click any row to open that booking. On a computer you can also use the eye icon (View) at the end of the row.
The list always shows the bookings for the Location picked in the top bar. To see every location at once, switch on View for all locations above the table — a Location column then appears.
What the list holds — and how far back
The list is not a live feed of your whole history. It loads once, for the range you choose with two small controls above the table:
- Date range — Current (the default) or one of the last three years.
- Fetch — reloads the list with that range.
Current loads bookings from two months back and onwards. A year loads that whole calendar year. So if a booking from last summer is "missing", it is almost always because the range is still on Current: pick the year and press Fetch.
If you are not an account administrator, bookings whose payment is pending or expired are not shown to you at all.
The columns

Two columns are worth a note:
- Channel reads
SEARCH,WEB,ADMINorPROLONGATION.ADMINmeans you or a colleague made it from the admin;PROLONGATIONis an extension the customer paid for themselves. Membership purchases get Membership added after the channel. - Status is a technical wording that is not translated:
OKis a normal live booking,CANCELEDis cancelled,RESERVEDis the state a booking sits in before it is confirmed. Do not confuse it with Payment Status or with the pickup status described in Pickup, return and booking statuses.
Printed is hidden on phones, and so is Location unless you have more than one location and View for all locations is on.
Search
The search box at the top reads Search bookings. It filters the rows that are already loaded — it does not go and fetch more, so set the Date range first if you are looking for something older.
It matches on, among other things:
- first name, last name, or "first last" written together
- the booking number (any part of it, not only the last four characters)
- the location name
- the start, end and created dates as they are written in the table
- the payment status text, the channel and the status text
- Yes / No from the Printed column
- the amount in Value
So "Paid", "WEB" and a date all work as search terms, not just names.
Filters and date ranges
Press Filters to open the filter panel. It contains:
- Today — a switch that reduces the list to bookings running today: starting today, ending today, or spanning today. While it is on, the other filters below are disabled.
- Hide cancelled & expired — hides cancelled bookings and bookings with an expired payment. The full wording behind the information icon is "Exclude cancelled bookings and bookings with expired payment status (This filter is used on Overview)".
- Filter logic — And or Or, see below.
- Clear — empties the date ranges and the search box and puts Filter logic back to And.
- Three date ranges, each with a from and a to date: Start, End and Created date.
Filter logic decides how those three ranges are combined:
- And — a booking must satisfy every range you filled in. Ranges you left empty are ignored. This is the normal choice: "started in July and was created in June".
- Or — a booking is kept if it satisfies any one of the ranges. Use it for "anything starting or ending this week".
Filling in a range takes you back to page one of the table.
Sorting
On a computer, click a column heading to sort by it; click it again to reverse the direction. Every column in the table can be sorted, including Payment Status, Status and Printed. The list starts sorted by Created, newest first.
On a phone, use the Sort control in the list options, which offers Created, Start and End, plus a direction.
Three extra switches above the table
- Prolong rows — shows extensions as their own expandable rows under the booking they belong to. With it off, a booking where the customer is midway through paying for an extension instead gets a small pending icon next to its payment status, with the note "Customer is completing an extension checkout."
- Include membership purchases — only appears if memberships are switched on for your account. Off by default, so membership purchases stay out of the booking list.
- View for all locations — described above.
Select bookings, export and print
Both actions work on the rows you have ticked, and both are greyed out until you tick at least one. The number you have selected is shown on the button, for example Export (12).
- Tick the bookings you want. The heading checkbox selects everything currently in the list; on a phone, use Select bookings by tapping and then Select all.
- Press Export to get a file of those bookings downloaded to your computer, or Print to print them.
Export builds the file on the server and then downloads it — give it a moment on a large selection.
Printing booking sheets
Print produces one page per selected booking — the same booking sheet you get from the Print button on an individual booking — and sends it to your printer or PDF.
Printing also marks those bookings as printed. That is what the Printed column reflects, and it is why the column is useful as a "have I prepared this one yet?" marker: print the day's bookings in the morning, then sort or search on Printed to see what is still outstanding. Printing a single booking from the booking page sets the same flag.
There is no button to un-mark a booking as printed.
Paging
The table pages at 25 rows by default; change it with Rows per page at the bottom. Your page and page size are remembered while you move in and out of bookings, so going back from a booking returns you to the same place in the list.
